Nobilas Claims and Fleet Solutions - Office Move

Introduction

Nobilas Claims & Fleet solutions is an international organisation operating in Europe and North America and combines leading car repair process management skills with claims management, and incident services.  Nobilas’ client base includes some of the world’s leading car insurers, car leasing and rental companies and corporate car fleet owners.

Background

As an international organisation with 60,000 employees which already has offices in the UK, the Netherlands, Belgium, France, Spain, Germany, Switzerland, Austria, the US and Canada, Nobilas continues with their  the rapid expansion plans.  With their UK office, Nobilas found that their rate of growth required them to find a bigger location after outgrowing their current offices and therefore sourced Move Your Office to assist with their new move.

The Challenge

The Move Your Office team was faced with the challenge of internally relocating the 100 plus staff of their Main UK office in Henley-on-Thames.  The move resulted in the need to relocate all office items and ensure all items were installed and working properly before arrival of employees on the first day in their new offices.  The move entailed extensive work including the dismantling, packing and re-assembly of all office artefacts – such as desks & chairs, desk furniture (stationery, telephones and computers, etc) and associated furnishings.

The Move Your Office team firstly planned and co-ordinated different phases and timescales with senior Nobilas staff, ensuring that all property was correctly assorted, identifiable and distributed back to the relevant person.  In addition, the advanced planning ensured there was minimal disruption to their employees and productivity.  The Move Your Office team also visited Nobilas’ new office location so that relevant data and communication points were identified, floorplans were drawn up to record where individuals would be seated and the provision of expert advice regarding interior environment layout.

 All Electronic components such as computers and telephones were packed into secured and padded crates, providing the protective storage required to prevent damage. Furniture and associated furnishings were all dismantled (if necessary), wrapped in protective packaging to prevent damage and then moved in phases to their new location. 

The Results

The Move Your Office removal specialists completed the project within the stipulated time frame over the weekend with 100% customer satisfaction. Nobilas were able to begin working at 0900 on the following Monday with no disruption to their day to day business.

Introduction

A&O is a fast growing, vendor independent provider of IT support services in Europe and around the globe. A&O have their main UK offices in Colnbrook, Berkshire with an employee base of over 300 personnel.

Background

The UK head office was in need of updating, having had little work done on modernisation since it was built in the early  80’s. Being a provider of corporate IT solutions and having a finite budget to work with, A&O wished to ensure they received maximum benefit from this budget. In addition to getting the most up to date look and feel to increase worker satisfaction, it was also necessary to upgrade certain parts of the electrical and lighting systems, which after surveying, were now found not to be up to legislative standards.

The Challenge

The Move Your Office team were faced with a substantial challenge that not only involved relocating services but the utilisation of Move Your Offices’ complete skills repertoire.

Using our designers, space planners and engineers the Move your Office team initially helped A&O to understand where the best return on their investment was to be found.

The challenge involved:  Complete overhaul of their office space; creation of new meeting room facilities and office space; refurbishment of all the buildings washrooms;  new power and data cabling, and new office furniture. However, the MYO team found innovative ways to achieve the updating of the building whilst still coming in under budget.

A project manager was assigned who met with A&O senior personnel, with an initial visit to establish the requirements with the A&O management team to agree start times and phases of work. A special phased plan was proposed by MYO, which included sequenced moves meaning that any work which would impact on A&O employees was either completed out of hours or over weekends. When this was not achievable, some temporary work areas were set up so that A&O employees could work as usual without interruption.

A new office layout had been proposed by MYO which was designed to open up the existing office plan, creating an improved layout allowing more space and natural light into the work areas. The MYO team suggested this layout as it could be performed with minimal cost as the office partitioning installed was demountable and also only required a new finish on it to look as new. The cost of refurbishing and moving the existing partitioning saved many ten of thousands of pounds in cost, which could be re-used elsewhere in the building.

The later phases in the building were again designed and completed with a keen eye on cost, re-using all materials where possible by refurbishing rather than replacing. This included sections of the bathrooms and kitchen areas.

During the refurbishment phase the new power and data cabling was installed, saving both time for completion of the project and disruption for A&O staff members. The new office furniture and each employee’s possessions were relocated back over weekends before employees returned to work the following Monday.

The Results

Although additional items were added to the original scope, the MYO office team managed to ensure that all original deadlines for completion of phases were met. The project was completed with budget to spare, meaning that A&O managed to replace out of date furniture, further enhancing the look of the building. Feedback from employees found that all agreed that the works made the building a better place to work in and staff managed to be more productive with the enhanced layout.

Workforce Employment - 20 personnel office move

Introduction

Workforce Employment is Staffordshire's leading employment agency having been founded back in 1972 and continued to establish an enviable reputation for supplying the right person for the right job.

Background

With an ever increasing demand for their services, Workforce Employment had grown to the extent where their original offices were too small and therefore needed to move into larger office space. In addition to this the growth of Workforce meant an upgrade in the cabling and IT was required and the Move Your Office team was assigned to assist with this process prior to the move, so that a seamless transfer between the old and the new IT network could take place.

The Challenge

The Move Your Office team was faced with the challenge of relocating Workforce’s 20 personnel to a different site. After a project manager was assigned, the team then made an initial visit to establish a plan and schedule of each move stage. The Move Your Office team then worked in conjunction with one of Workforce’s senior managers in deciding their new office layout before commencing works. The Move Your Office IT specialists carefully mapped and labelled the existing IT infrastructure and items such as servers and PC’s were then carefully powered down and each item was wrapped in transit proof protective packaging.

Existing furniture was dismantled, protectively wrapped as needed and then transported to the new offices. Once all materials were transported over, the team then began the re-assembly process of each individual’s workspaces.

The Result

The Move Your Office team managed to comprehensive the move well within the specified time frame over the weekend, including the cutover to the new Category 5 cabling and IT network allowing Workforce to return to work promptly at the start of the next working week.
