Introduction
A&O is a fast growing, vendor independent provider of IT support services in Europe and around the globe. A&O have their main UK offices in Colnbrook, Berkshire with an employee base of over 300 personnel.
Background
The UK head office was in need of updating, having had little work done on modernisation since it was built in the early 80’s. Being a provider of corporate IT solutions and having a finite budget to work with, A&O wished to ensure they received maximum benefit from this budget. In addition to getting the most up to date look and feel to increase worker satisfaction, it was also necessary to upgrade certain parts of the electrical and lighting systems, which after surveying, were now found not to be up to legislative standards.
The Challenge
The Move Your Office team were faced with a substantial challenge that not only involved relocating services but the utilisation of Move Your Offices’ complete skills repertoire.
Using our designers, space planners and engineers the Move your Office team initially helped A&O to understand where the best return on their investment was to be found.
The challenge involved: Complete overhaul of their office space; creation of new meeting room facilities and office space; refurbishment of all the buildings washrooms; new power and data cabling, and new office furniture. However, the MYO team found innovative ways to achieve the updating of the building whilst still coming in under budget.
A project manager was assigned who met with A&O senior personnel, with an initial visit to establish the requirements with the A&O management team to agree start times and phases of work. A special phased plan was proposed by MYO, which included sequenced moves meaning that any work which would impact on A&O employees was either completed out of hours or over weekends. When this was not achievable, some temporary work areas were set up so that A&O employees could work as usual without interruption.
A new office layout had been proposed by MYO which was designed to open up the existing office plan, creating an improved layout allowing more space and natural light into the work areas. The MYO team suggested this layout as it could be performed with minimal cost as the office partitioning installed was demountable and also only required a new finish on it to look as new. The cost of refurbishing and moving the existing partitioning saved many ten of thousands of pounds in cost, which could be re-used elsewhere in the building.
The later phases in the building were again designed and completed with a keen eye on cost, re-using all materials where possible by refurbishing rather than replacing. This included sections of the bathrooms and kitchen areas.
During the refurbishment phase the new power and data cabling was installed, saving both time for completion of the project and disruption for A&O staff members. The new office furniture and each employee’s possessions were relocated back over weekends before employees returned to work the following Monday.
The Results
Although additional items were added to the original scope, the MYO office team managed to ensure that all original deadlines for completion of phases were met. The project was completed with budget to spare, meaning that A&O managed to replace out of date furniture, further enhancing the look of the building. Feedback from employees found that all agreed that the works made the building a better place to work in and staff managed to be more productive with the enhanced layout.
